The European Alliance of Associations for Rheumatology (EULAR) is a leading organisation focused on minimising the impact of Rheumatic and Musculoskeletal Diseases (RMDs) on individuals and society. With a mission to foster excellence in research, education, and patient care, EULAR brings together healthcare professionals, scientists, and patients across Europe. Our vision is a world where RMDs are recognised, diagnosed early, and ultimately prevented or cured. In addition to representation, EULAR also operates services to that end, including a yearly congress with 14 000 in-person participants, a continuing education programme with up to 20 000 enrolled students and numerous services to assist researchers, health professionals and patients wherever possible. The organisation consists of the Head-Quarters in Kilchberg with a growing team of 40+ employees as well as up to 1000 active volunteers spread across Europe.
As part of the latest EULAR strategy, we are embarking on a digital transformation journey to expand our services, enhance our impact, and optimise the tools and platforms used by our teams.
Position Overview
We are seeking a dynamic and organised IT Operations and Service Coordinator to join our growing team. The individual in this role will coordinate ongoing IT services with suppliers, implement digital transformation projects across departments, and act as a bridge between EULAR’s internal teams and external IT support vendors. The ideal candidate will have experience with IT service management, vendor coordination, and project management, as well as the ability to facilitate collaboration between technical and non-technical stakeholders.
Key Responsibilities
- Oversee the day-to-day operations and documentation of IT services such as M365, Atlassian Jira/Confluence and many more custom solutions, ensuring service quality.
- Monitor and manage service level agreements (SLAs) with external vendors, ensuring timely issue resolution and assist with vendor relationship management.
- Take ownership of and expand the IT service management platform and its processes.
- Serve as the liaison between EULAR's internal teams (e.g., Congress, Education, Research) and external IT vendors, ensuring smooth communication and issue escalation or internal resolution of smaller issues.
- Manage small projects related to systems integration, automation, or workflow optimisation, ensuring alignment with organisational objectives.
Your profile
- 3-5 years of experience in IT-service, IT-operations, technical project coordination, or a similar role.
- Experience managing SaaS solutions (e.g. M365, Atlassian) and external IT vendors.
- Enthusiasm to get hands-on where required.
- Excellent communication and problem-solving skills.
- Ability to manage multiple projects and services in a structured manner and prioritise tasks effectively.
- Technical ability to troubleshoot common workplace technology and hardware.
Beneficial additional experience:
- Experience in automating Business Processes using Low-code solutions or basic scripting.
- Devops/Data science know-how.
- Proficiency with cloud platforms (e.g. Azure), digital project management tools and CRM/CMS systems.
About the Team
You will be joining a cross-functional team of professionals committed to EULAR’s mission of fostering scientific innovation and improving the lives of those affected by RMDs. The IT Operations and Service Coordinator will work closely with our internal departments (education, research, events) and report directly to the Head of IT. You’ll also collaborate with external IT suppliers, ensuring smooth day-to-day operations and the successful execution of digital projects.
